Summary:
Property Manager is responsible for all operations of the apartment community.
Ensure the property is maintained and performing in a high-quality fashion while controlling operating expenses and collections.
Maintain resident satisfaction and retention by establishing positive working relationships with the community team by performing the following duties ESSENTIAL JOB DUTIES AND

Responsibilities:
Responsible for posting and reconciling customer payments to the general ledger in Appfolio by scanning checks through the check scanner and ensuring monies are reconciled to the bank, under the direction of the Property Manager.
Ensure prompt rent payment from 3rd party local agency.
Monitor timely rent collections and processing of payables.
Document all details regarding residents' rent balances, notices, and communication in Appfolio ongoing actions are taken to redeem payment.
Ensure all customers' payments match the names reflected in Appfolio and the lease before posting.
Track all receivables from onsite personnel and the online tenant portal in Appfolio.
Keep all checks in a locked and secured place at all times.
Investigate and resolve billing discrepancies or misapplied transactions.
Review all credit balances, refunds, and adjustments and apply adjustments.
Schedule and conduct move-in, initial move-out, and move-out inspection per law with the resident and document the move-in / move-out sheet.
Work with the maintenance manager and walk the vacant units to determine applicable charges at the tenant's move out.
Complete the tenant's move-out deposit accounting within the legal time frame and document receipts and take photos of tenant move-out conditions and upload them into the resident's account in Appfolio.
Place tenants who owe money at move-out in collections.
Follows up on any Non- Sufficient Funds (NSF's) and ensures all applicable fees are billed in Appfolio.
Charge when applicable late fees per the resident's lease terms.
Stay abreast of Dashboard alerts in Appfolio (Pending applicants, application approvals, open service request move-in / move-out, and new guests).
Monitor all rental activity and complete all rental activity, move-ins, notices, move-outs, and renewals in Appfolio.
Monitor consistency and quality of overall maintenance, particularly related to preparing market-ready apartments, model units, and timely response to service requests.
Marketing and Leasing:
Monitors and track the leasing staff performance, including their understanding of current rental policies, concession programs, and closing ratios.
Monitors and directs rental activity.
Maintains a safe and pristine office and reception area appearance by organizing office operations.
Ensure model and market-ready apartments are maintained and presentable for showing.
Welcome guests by greeting, welcoming, and directing them appropriately, notifying team members of visitor arrival.
Screen inquiries from the public and customers and show prospective residents the community; by utilizing company leasing techniques and expectations.
Keeps abreast of industry, market, and seasonal trends to suggest strategies with the Property Manager to meet operational goals.
Updates monthly market surveys and shop the competition quarterly.
Ensure all pieces of traffic from phone calls, online interests, and walk-ins have a guest card created in Appfolio.
Followed- up on all leads to ensure updates are tracked daily in Appfolio.
Post Craig's list ads multiple times per day.
Review prospective tenant applications for eligibility per the company's rental criteria and ensure applicants meet the rental criteria before the credit screening.
Ensure the online lease agreement's executions with accuracy and review the lease terms with all residents.
Only accepts certified funds for move-in costs.
Answers incoming phone calls professionally and handles accordingly, whether the caller is a prospective resident, a resident, an internal Company team member, or a vendor.
Physically walks and inspects the community daily, check on vacant apartments, and resolve any issues promptly.
Ensure all maintenance work performed has a service request entered in Appfolio and ensure a timely turnaround of repairs.
Prepares legal documentation to ensure collections, serving as a community representative in court proceedings.
Follows through on resident problems to a satisfactory resolution and communicates issues to any necessary party to facilitate resolution and communication.
Maintain relationships with residents, associates, and vendors on a professional level at all times.
Performs other related duties as assigned by management.
Assist in team meetings.
Complies with daily, weekly, and monthly reporting standards.
Requirements:
Appfolio experience -preferred Solid understanding of Fair Housing guidelines.
Excellent verbal and written communication skills.
High level of flexibility and ability to effectively manage change.
Computer literacy, including Excel and Word 3-5 years of experience in residential property management and experienced managing multiple properties.
